Configuring services offered in Online Check-in communications

Purpose

As a part of the Customer Communication module, the Online Check-in tool gives customers the opportunity to review the agreed work and to select additional services prior to their appointments. This article will explain how to configure services you wish to offer to your customers.

Prerequisite

You must be a user with the Dealer admin role to change settings.

Creating additional services

Step 1

First, go in the hamburger menu, under the Customer Comm section click Check-in Services.

Step 2

Click the plus in the red circle at the bottom right corner of the page.


Step 3

A page named Add new online check-in service will pop up with a list of six available fields to complete.


Here are the fields followed by an example showing where each one of them will be displayed on the Online Check-In communication.

Check-in service name

A self explanatory field that will be displayed on the Online check-in. 

Check-in service description

A self explanatory field that will be displayed on the Online check-in. 

Select brands

 From the drop down menu, select one or multiple car make(s). Only customers with cars of the selected make(s) will view the service offered.

Select tags

Categorize your service by tag.  Measure and review their performance on the Online Check-in Performances report available in the dealer report dashboard.

If you want a new tag to be created, contact us at support@claireit.eu.

Info URL

Enter the  URL that you wish to be embedded. (Example: Youtube video related to the service.)
Note: Youtube links are detected and embedded properly.
Note: This will be embedded in an iframe so make sure that the x-Frame-Options header is set to SAMEORIGIN, otherwise it will not be displayed properly.

Field 5. Price excl. VAT

A self explanatory field that will be displayed on the Online check-in. 
Note: VAT will be added automatically if enabled for your location.

Example:



Hide for lease appointment: When enabled, the service will not be visible when WO has for driver, contractor or owner a lease company.

Convert to intervention: When enabled, the Add intervention modal will open when receptionist clicked to indicate it was handled. The modal will be prefilled with the information about the service.

Step 4

Click Save,  it should now be displayed on the left column named Dealer Services.


Enabling additional services for a location

Drag the item from the right column (Dealer Services) to the left column (Location Services) so that customers of that location will view it in the Online Check-in communications. 



Check In Service Accepted Notification feature

If you want some services to be handled by a different department that does not use Claire.

Once a service for location is enabled, open it from the location column and add an email:


Once that service is accepted, an email will be sent to the email address entered with the information about the service accepted and for which service.
On the appointment details page, a blue envelope will indicate the service was accepted and when hover it will indicate to which email address and when a notification email was sent.



Disabling a service offered for a location

Click the service to be disabled on the left column.



On the Edit check-in service page, click the Disable red button on the bottom right corner.



Deleting additional services

Click on the service to be deleted on the right column (Dealer services).



On the Edit check-in service page and click Delete right button at the right bottom corner to permanently remove it.


Prior to delete a service, you must disable it on all location. If you don't, you will get the error message display below:
