(V8) Creating a workorder in Claire

How it works

When a workorder is not automatically imported from DMS, it is possible to add the WO manually in Claire. New WO can be created by clicking on the green plus button in the left corner of the appointment list page.

By default the to Create new WO is, contact support@claireit.eu to disable this.

Field car

Start with entering the registration number. If the car information is missing (brand, modal, APK date) you can import it from the RDW, OVIS or ROB* by clicking on External data button.


External Data provides the Brand. Modal and APK date (if available) from RDW, ROB and OVIS (also vinnumber)


Select the provided information you need for the car and click the Update button.

Notes
For new vehicles, fill in the fields manually: Make, Model and a unique VIN are mandatory.

Customer field

To enter the customer informatione, select the field under Customer, this will show the customer who is connected to the car. When the vehicle is known from the DMS, the Driver, Owner, and Contractor fields will be automatically filled in when you click on the Customer Search field. Then select the customer from the dropdown list.


Notes
In the Customer Search field, it is also possible to search by Company Name or Lease.

When the vehicle is not known in the DMS, the Driver, Owner, and Contractor information can be manually added in the customer fields below.

Company Name or Last Name is mandatory for adding Owner and Contractor.

For Keyloop locations:

When a vehicle comes from the DMS, the Driver, Owner, and Contractor fields will be automatically dislplayed and cannot be edited.
Details such as email, contact number, etc., for the Driver, Owner, and Contractor will not be visible in the input fields, but once the Work Order is created, all information will be available in the Customer Information field.

For new vehicles, Make, Model, and a unique VIN are mandatory.
Driver, Owner, and Contractor can also be added manually via Customer Search using the last name.
In the Customer search, it is also possible to search by Company Name/Lease.

Company Name or Last Name is now mandatory for adding Owner and Contractor.

Extra settings:

  1. Car in shop: This will automatically put the car in shop (on Keyloop locations it will also ask to enter the current mileage)
  2. Customer waiting: This will enable the icon for customer is waiting
  3. Lease company: This will mark the car as part of a lease company*
  4. Internal: This will mark the car as internal*
Notes
*Lease company and Internal are not available on Keyloop locations.

Appointment details

Lastly enter the correct dates to the appointment. The dates will be automatically filled in on todays dates and time.
The WO number is also automatically generated in Claire*.


Clicking on one of the date fields will open a calender where you can select a different date or time.
Notes
*On Keyloop locations, the WO number comes from the DMS.

Add interventions

Click on the green Add intervention button. A modal will open where you can enter the customer complaint. After that click on Save.


The new intervention is then added to the create workorder screen.


Add recall intervention

If there are recalls available for this car, then the Add recall intervention button will also be available.



Clicking on this opens a new window where you can see all the open recalls.


Click on Select all to add all the recalls to the workorder or click on the checkbox of a recall to add your selection. Then press Confirm to ad the recall intervention.
